Job Description
- Involved in the event planning, design, and proposal based on the event template
- Organising the event in accordance with the preferences and objectives of the project
- Create and maintain the event budget as well as the invoices
- Select the most suitable location or venue, merchandise production, and communicate with the vendors
- Arrange a layout and agenda of the event; create an event brief, edm, and any other promotional tools to promote the event traditionally or digitally with the assistance of the marketing team
- Hire key volunteers and manage staff, as well as special guest appearance, MCs, anchor or any other suitable entertainer for the event
- Attend event to oversee activities and ensure details are handled as planned
- Address any dispute that may arise, and remain on-site after the event is over to ensure proper clean up
- Work with and give guidance to the staff involved in the event
- Involved in the negotiation and contract with vendors such as photographers, florists, caterers, technical and transportation services on a variety of goods and services like security, lighting, sound equipment, displays, stages, parking, food and drink and any other essential item to ensure the success of the event
- Inspect delivery of goods and services to ensure contract terms are satisfied; adhere to legal, insurance, and health and safety regulations
- Provide post-event report in terms of documentation and record
- Can work on the weekend if required (will be granted Office In Lieu in replacement)
- Perform any other related duties as may be assigned or requested to ensure the best execution of the event
Requirement
- Experience in event organization or management or related work experience
- Strong communication skills – written and verbal is a must – in both English and Bahasa
- Positive and outgoing personality
- Strong negotiation, learning, and planning skills
- Ability to multitask, remain calm and can work under pressure in a fast-paced environment
- Attention to details and good problem solving skills
- Experience or talent for organising and working complex events in an efficient and methodical manner
- Strong interpersonal skills and ability to deal with diverse types of people
- Ability to work effectively as part of a team and also take initiative when the need arises
- Posses an agile and can-do personalities
- Willing to travel frequently
- Preferably has additional skills in terms of documentation, edm and others, which can support the role
